Monthly Retainer Billing Terms

The billing arrangement is designed around a fixed monthly support commitment and clear expectations.

Monthly Billing Date

Invoices are normally issued on the 26th of each month for the applicable monthly retainer period.

Reserved Capacity

The monthly fee reserves the agreed number of support hours for your business during the relevant billing month.

Payment Terms

Payment is due by the payment date shown on the invoice. The agreed payment terms will be confirmed before the retainer starts.

Unused Hours

Retainer hours are allocated for the relevant month only. Unused hours expire at month-end and do not roll over to a later month.

Monthly Fee Remains Payable

The monthly retainer fee remains payable even if the client does not use all allocated hours, because the hours and support capacity were reserved for the client.

Additional Work

Work outside the selected package or agreed scope is billed separately at R450 per hour, subject to client approval where required.

Work Billed Separately

Some work falls outside regular monthly website support and may require a separate quotation or additional approval.

A monthly Website Retainer is an ongoing support agreement that reserves a fixed number of hours for WordPress updates, website maintenance, content changes, troubleshooting and improvements each month.

When are monthly retainer invoices issued? +

Invoices are normally issued on the 26th of each month. The applicable payment due date will be shown on the invoice and confirmed in writing when the retainer is arranged.

Are monthly retainer hours billed if I do not use them? +

Yes. Retainer hours are reserved for you for the month, so the monthly package fee remains payable even if all of the included hours are not used. Unused hours expire at the end of the month and cannot be carried over to the following month.

Do unused hours roll over? +

No. Unused hours expire at the end of the relevant month and do not roll over to the next month.

Can I buy additional website support hours? +

Yes. Additional approved work outside your monthly allocation is billed separately at R450 per hour.

Can monthly retainer hours be used for a new website? +

Retainer hours can be used for website projects, new sections, pages and website changes where the work fits within the hours included in your monthly package. New websites, major redesigns or larger development projects that exceed the available retainer hours will be quoted and billed separately.

Do monthly retainers include SEO? +

Retainer hours may be used for agreed on-page SEO tasks, such as updating metadata and improving internal links. Content writing and link building may require a separate quotation.

Can I cancel my monthly retainer? +

Yes. You can cancel your monthly retainer at any time. If you cancel after the current billing period has started, the full monthly retainer fee for that month remains payable. Unused hours are not refundable and expire at the end of the billing period. Cancellation will prevent the retainer from renewing for the following month.
